Terms and Conditions for Exhibitors at Film Expo India

General Rules

  • The Exhibitors applying for stalls at any edition of The Film Expo agree to observe and abide by the terms and conditions mentioned below.

  • The organizer reserves the right to modify, change, or issue new terms, conditions, and rules for participation, promotion, and benefits at any time.

Stall Layout

  • The organizer reserves the right to change the layout of the stalls and reallocate them due to changes in entry/exit points, electrical fittings, pillars, wall extensions, measurement issues, fire exits, or other hall adjustments.

  • Exhibitors should book only if they are 100% certain of their participation.

Event Cancellation or Postponement

  • If The Film Expo is canceled, postponed, or suspended due to uncontrollable reasons (e.g., war, terrorist attacks, weather, pandemics, fire, natural calamities, national emergency, labor disputes), organizers will refund only a proportionate part of the stall rent after deducting expenses incurred.

  • Organizers may also reschedule the event, and exhibitors who have booked will need to participate unless they opt for a refund.

Payment Policy

  • A 30% booking fee is required upfront to confirm participation.

  • Full payment must be made before the final deadline; otherwise, the booking will be canceled without a refund.

Stall Setup and Removal

  • All exhibitors must submit a pre-designed layout and detailed curatorial concept for approval. No changes are allowed once approved.

  • Stall setup must be completed on the same day of possession, and setup during exhibition hours is not permitted.

  • Dismantling and removal of exhibits must begin by 8:00 PM on the final day and be completed within the allotted time.

Health and Safety

  • Exhibitors must comply with all health, fire, and safety regulations.

  • Non-compliant exhibits will be removed, and exhibitors must address the issues as per guidelines.

Security

  • General security will be provided from the setup day to the dismantling day, but the organizer is not responsible for individual stall exhibits or personal belongings.

  • Exhibitors must secure their exhibits against loss, damage, theft, fire, or any risks with appropriate insurance.

Advertising and Promotions

  • Advertising or distributing materials outside the stall area is prohibited.

  • Unauthorized logos or displays outside the provided fascia will be removed.

Display Restrictions

  • Exhibits must not obstruct light, impede movement, or affect neighboring stalls.

  • Exhibitors cannot display items on the exterior walls of their stall.

Facilities and Services

  • Facilities such as lighting, branding, and promotions will vary between venues.

  • The organizer reserves the right to add or remove facilities based on venue terms.

Maintenance and Alterations

  • The organizer can make repairs or alterations during the exhibition if necessary, and exhibitors must accept these changes without argument or compensation.

Communication and Disputes

  • Only written or email communication will be considered valid.

  • All disputes will be resolved under the jurisdiction of Mumbai, India.

Cancellation Policy

  • 50% charges for cancellations 8 months before the expo.

  • 75% charges for cancellations 6 months before the expo.

  • 100% charges for cancellations 3 months before the expo.

  • Approved refunds will be processed within 90 working days.

Music Licensing

  • Loudspeakers and high-decibel promotions are prohibited.

  • Cordless mics must not exceed 70 decibels to avoid nuisance or disturbance.

Listing and Promotions

  • Exhibitors grant the organizer a non-exclusive license to use their names in directories and promotional materials.

  • The organizer is not liable for errors or omissions in event listings.

Use of Organizer Name

  • Exhibitors cannot use the organizer’s name, logo, or marks for marketing without written consent.

Subletting

  • Subletting or transferring stall space is strictly prohibited.
